How to contact us about privacy

Daycare Sheets receives privacy questions and requests through the contact form. Include enough information to identify the request, but do not send child records, staff files, payment information, health details or other unnecessary personal data.

Information submitted through the form

The form collects a name, email address, subject and message. These fields are used to understand a question, correction or suggestion and to provide a reply when one is available. After server-side validation, the message is stored as a private record in this website’s WordPress administration area. It is excluded from the public library, search, REST output and sitemaps.

Security and abuse prevention

The form uses a security token, hidden anti-spam field and rate limit. For rate limiting, the visitor’s IP address is transformed with a site-only key into a non-readable identifier that expires after one hour. The form does not attach the raw IP address to the stored message. Hosting systems may keep access and security logs for protection and diagnosis.

Where information is processed

The website and its private message records are hosted on the site’s server in Canada. Administrative access is restricted. The form does not automatically forward messages to Telegram, an external mailing list or an advertising platform.

Retention

Rate-limit identifiers expire after one hour. Form values associated with a validation error are held temporarily for up to 15 minutes. Valid messages remain in the private inbox until reviewed and deleted by an authorized administrator. Server logs and backups follow the hosting system’s operational retention and recovery cycle.

Choices and requests

A person may use the contact form to ask for access to, correction of or deletion of information they submitted. Daycare Sheets may request proportionate details needed to locate a record and avoid disclosing it to the wrong person. Contact messages are not used for marketing profiles or automated decisions.

Other website data

Public template downloads are counted as aggregate events and are not linked by this feature to a visitor profile. The public site does not currently load advertising, audience analytics, hosted social widgets or third-party web fonts. See Cookies for the current technology inventory.

Changes to this notice

This notice will be reviewed if the form, hosting, analytics, advertising or other data-handling features change. The review date above describes this version; it is not a promise that the page changes automatically.
